Voicemail – Reference Guide
Accessing your voicemail
Below are instructions on how to access your voicemail. By default Voicemail facility is not granted. You will have had to request it when your telephone account was setup.
If you currently dont have Voicemail and require one please raise a ticket with the Service Desk providing your extension number.

Whether you are a Standard Ringcentral Softphone user or a NICE InContact Softphone user (also known as ACD Agent) there are two ways to access your Voicemail account:
- Using MS Teams Ringcentral Softphone
- Using any telephone - external to the university i.e. a home phone or Mobile
Using MS Teams Ringcentral Softphone
To listen to your voicemail click on the Ringcentral icon along the left in MS Teams and then ‘Voicemails’. | ![]() |
When a voicemail is received it will appear in bold in the ‘Voicemail’ menu. The ‘Phone’ tab will also appear in bold with an indicator beside it. |

Click on the voicemail and press the play button.

To call the user back click on the phone icon. | ![]() |
To download the recording click on the download button beside the recording. |

To change other voicemail settings click on the cog and then ‘voicemail settings’. |

Note: when a voicemail is received a copy of it along with its transcript is also emailed to the user.
How to access voicemail for Handset user
For a Yealink handset user there are also two ways to access your Voicemail account:
- Via the Yealink Handset
- Using any telephone - external to the university i.e. a home phone or a Mobile
Using the Yealink Handset
When a voicemail is received a red flashing light appears on the top of the phone. An envelope icon also appears on the LCD screen. |

To listen to voicemail pick up handset and press the envelope icon. Enter your PIN and then ‘#’. |

Using any telephone - external to the university i.e. a home phone or Mobile
You can check your voicemail for Softphone and Yealink handset from any phone. To do this:
- Dial your full telephone number
- Press the ‘*’ key and enter your voicemail PIN followed by the ‘#’ key
Listen to the options or press ‘one’ to listen to your voice messages.
