Internship Agreements and Convention de Stage

Your employer may require you to complete an internship agreement. This page provides dedicated guidance on obtaining an internship agreement, or Convention de Stage, when requested by your prospective employer.

Navigating internship documentation

It is at the discretion of School whether CCLS will accept being an internship signatory. Please check your eligibility and the instructions below before completing the Internship Agreement/Convention de Stage form. 

The Internship Agreement/Convention de Stage must be submitted for processing at least 21 working days before the start of the internship. Failure to do so will jeopardise the chances of receiving the necessary documents.

Eligibility

To qualify for internship documentation through CCLS, you must meet the following criteria:

  1. Enrolment status: You must be fully registered for a programme at CCLS, either full-time or part-time equivalent, for at least one academic year. Please ensure you have completed campus registration before seeking internship documentation.
  2. Ongoing study: Your internship should not exceed 20 hours per week if you still have classes This is to comply with the UK work regulations. For more information on your work rights, please contact the Visa and International Student Advice team.
  3. ULIP students: For CCLS Paris (ULIP) students, confirmation and agreement from the CCLS Paris team are required before proceeding with internship documentation. If you have not obtained the confirmation from CCLS Paris team, we will liaise directly with the department. However, it may take longer than the time mentioned above (21 working days).
  4. Insurance coverage: Queen Mary does not cover your insurance. You must provide evidence of insurance covering your entire internship period abroad, including medical and associated expenses, personal accidents, and possessions.

How to get an Internship Agreement/ Convention de Stage from CCLS

ULIP students and UK-based students with internships in Paris

Complete both Convention de Stage versions and send them to pglaw-internship@qmul.ac.uk and cclsparis@qmul.ac.uk for review.

UK-based Internships 

Complete and send the Internship Agreement to pglaw-internship@qmul.ac.uk for review and signature request.

I’m a prospective student/offer holder, can I have an internship agreement?

Unfortunately, we are unable to provide an internship agreement or Convention de Stage until you have completed on-campus full registration for the commencement of your programme. Once your registration is finalised, we will gladly assist you with any internship documentation you may require.

My employer would like to use their own agreement, how does this work?

If your employer prefers to use their own agreement, please forward the document to pglaw-internship@qmul.ac.uk. We will then take the following steps:

  • Review the agreement with the relevant team, including the Legal team if necessary.
  • Make any necessary amendments to ensure compliance.
  • Send the amended agreement back to you and your employer for approval.
  • At our discretion, sign the agreement.
  • Electronically return the signed agreement to you.

Please note that if the agreement deviates from our standard format, has been altered, or is not governed by English law, we may be unable to sign it. Processing time may be extended as we review and potentially amend the agreement. We recommend submitting the agreement as early as possible, ideally at least 21 working days before the internship start date, to avoid delays, especially during peak periods.

Can the agreement explicitly state it is covered by another governing law?

If the agreement requires adherence to another governing law, we may encounter challenges in signing it. Our team will be required to make an assessment beforehand.

Can I delay my graduation to extend my student status?

No, it is not possible to delay your graduation to extend your student status. Your registered student status is determined by the completion of your programme of studies, not by the date of your graduation ceremony. Please consult with the Departmental Student Support team to confirm your programme completion date.

In all agreements, we will clearly indicate:

  • Your programme
  • Your programme start and end date

For non-CCLS agreements, we will include an amendment if the internship extends beyond programme completion. To prevent any misunderstandings, ensure your employer is aware of your registration status at the scheduled start of your internship.

Can the CCLS Internship Team give me a letter confirming my registration status?

If you require a letter confirming your current registration while enrolled in a course of study, please contact the Student Enquiries Team. They will provide you with a letter detailing your registration status at Queen Mary.  

My employer wants to make changes to the internship agreement. Is this possible?

Yes, your employer can propose amendments to the internship agreement or Convention de Stage. Please request the necessary information from them. Common amendments may include remuneration and expenses. Any proposed amendments must be accompanied by an English translation and will be reviewed and approved on a case-by-case basis.
