MS Teams for Staff
Microsoft Teams (MS Teams) is a component of Microsoft 365 designed for online collaboration, linking together email, shared documents, and file storage with real-time communication tools.
Getting Started with MS Teams
For more information please see: https://support.microsoft.com/en-us/teams/
In Microsoft Teams, teams are groups of people brought together for work, projects, or common interests. Teams are made up of channels. Each channel is built around a topic, like “Team Events,” a department name, or just for fun. Channels are where you hold meetings, have conversations, and work on files together.
MS Teams, also allows for teaching and interaction features such as:
- Microsoft Teams Live Events - is a webinar service allowing QMUL staff to create, produce and deliver online events to up to 10,000 audience members.
- Hybrid Teaching
- Group presentations
- Conferences and Events (see Live Events)
- Townhalls (see Live Events)
- Teaching spaces for sharing material and arranging breakout groups.
You can find more information on using specific aspects of Teams in the section below:
Teams Webinars
Microsoft Teams Webinars are designed for structured presentations, training sessions, and public-facing events where attendees primarily listen and participate through moderated interaction. Unlike standard Teams meetings, webinars provide additional event management and registration capabilities.
Webinars support features such as attendee registration, capacity limits, custom registration questions, and attendee tracking, helping organisers manage events more effectively and understand their audience.
Please note that IT Services cannot assist with the production or delivery of webinars. Event organisers are responsible for planning, content delivery, attendee management, and event administration.
Teams Channel Meetings
Channel meetings allow team members to meet directly within a Microsoft Teams channel, helping to keep conversations, files, and meeting content linked to a specific project or topic.
When a channel meeting is scheduled, it appears as a post in the channel, making it visible to all team members and allowing them to join directly from the channel. Channel meetings are ideal for collaborative discussions, project updates, and ongoing team activities where meeting information should remain accessible to the wider team.
Please note that channel meetings are visible to members of the selected team and channel, and meeting recordings, files, and conversations can be shared within the channel for future reference.
Microsoft Teams Town Hall
For most online events, Microsoft Teams meetings can support up to 1,000 attendees using the University's Microsoft 365 A5 licence.
For larger broadcast-style events, Microsoft recommends using a Teams Town Hall. Town Halls are designed for one-to-many communications such as all-staff meetings, announcements, presentations, and other large-scale events, and can support up to 10,000 attendees.
Please note that IT Services cannot assist with the production or delivery of your event. Event organisers are responsible for all aspects of planning, content delivery, and event management. For resilience, we recommend assigning multiple organisers or presenters where appropriate.
If you require assistance or advice before running your event, please contact the IT Service Desk using the link at the bottom of this page.
Data protection and Governance
Document Management – Compliance
Office 365 tools like Email, SharePoint, OneDrive and Teams offer extensive file sharing capabilities.
- Always consider information security, GDPR compliance and QMUL information classification, when uploading files to the cloud and sharing them with others.
- Please be aware that all staff need to remain compliant with GDPR and other relevant regulations when storing data. Individual research participant data and other sensitive data should therefore, not be transferred to SharePoint, OneDrive or MS Teams.
