Phones and Tablets
IT Services manages both the softphone (through Teams) and mobile phone contracts for the University, as well as provisioning Tablets, where required.
Staff will typically be provided with one primary communication solution, either a mobile phone or a softphone, based on their role and requirements. Provision of both will only be approved in exceptional circumstances. If a member of staff believes their role would benefit from the use of a mobile device or tablet, they should discuss their requirements with their line manager in the first instance. Tablets are not considered a primary communication device and are provisioned separately where there is a clear business need. Suggested considerations for discussion of eligibility should include if their duties and responsibilities extend to any of the following areas of work:
- Spend an average of at least 50% of their time working away from their home (WFH) and or office which would include travel and duties performed during any visits and are unable to use a laptop or a fixed phone.
- An employee who is required to perform emergency call out duties or to provide advice and guidance in emergency situations.
- Senior management that are frequently away from their offices or who are away from their offices less frequently, but who may always need to be made available for contact to assist with the continuity of critical services.
Fully funded by School/Inst/Directorate.
Personal Softphone
A personal softphone is a software application that enables users to make phone calls over the internet (VoIP) using a computer, tablet, or smartphone, rather than relying on a physical telephone. It essentially replaces traditional desk phone with a virtual phone interface.
What is it used for
Its used for making calls externally as well as internally. You can also use it for basic conference calling.
How to use it
Ringcentral is the personal softphone brand QM uses and it integrates with MS Teams Software. It is available for PC and Apple Macs as well as Mobile phone devices(Android and iOS). A dial pad is used to make calls. It's designed to provide telephony services on and off campus.
Mobile Phones
ITS will provide setup of your department's initial account and your department will be responsible for the monthly payment of bills
Tablets and mobile phones are ordered through ITS from a limited range of cost-effective options. The School/Institute/Directorate must approve the item and cover the full cost, including recurring charges for mobile data, international roaming, and voice calls.
Available Wi-Fi is expected to be used wherever possible to avoid above charges. Support and advice for the equipment and any queries relating to billing should be directed to Vodafone. ITS will provide the appropriate contact details.
Tablets
Tablets and mobile phones must be ordered through IT Services from a small range of cost-effective options. Tablets are not considered a primary communication device and are provisioned separately where there is a clear business need.
All devices will be enrolled in a centrally managed Mobile Device Management (MDM) solution for security and compliance purposes.
The relevant School, Institute or Directorate must approve the request and cover the full cost, including any recurring charges for mobile data, international roaming and voice calls. Where available, Wi-Fi should be used to minimise these charges.
