ITS Funded Devices

All staff* and Post Graduate Research students are entitled to an ITS managed and funded device.

Other

The majority of users at Queen Mary will need an Option A computer

All devices issued to staff are laptops to allow for hybrid working

Our estate is set up for Dell laptops

Any other type of computer - for research or additional digital needs will need a business case through service desk

Devices marked with a * can be set up as either managed or COPE devices - please see below form more information.

We strongly advise against choosing a device (outside of specialist research, or OH required reasonable adjustment) that isn't an approved option. All devices have been selected based on our IT estate and landscape, the specifications of what is needed for the majority of staff to complete their work, easily and efficiently, and to ensure Queen Mary's data and information is kept safe and secure.

Process for a new starter

Once recruitment activity has been completed for a new starter in Oleeo, the information is now automatically updated in HCM (ResourceLink). Our IAM system then detects the update and, within 24 hours, automatically creates a user ID (e.g. abc123) and an email address.

The new staff member's Line Manager will then receive an email confirming their user ID and email address. Using this information, the Line Manager should then submit the usual ServiceNow New Starter Full Setup Request, after which the process continues exactly as it has previously.

Although the user ID and email address are now be created automatically, the ServiceNow New Starter Full Setup Request is still required, in order that Line Managers can request everything else needed by the new starter.

To access the new starter link and complete the form

More information can be found on our IAM SharePoint site

Process for a change of job

The device goes with the person - you will keep your device for whichever job you are doing (unless you require a new one).

Information on what is available for your device

What is meant by a managed device?

A Managed device is a Queen Mary-owned laptop which runs on the Centrally Managed Service. Staff can work on these devices, in a secure, systematically managed, and supported environment. This helps keep Queen Mary’s network secure, protecting staff and student’s data.

For staff and researchers who require more accessibility we have COPE - Corporate Owned, Personally Enabled devices.

A major feature of the COPE service is the ability for users to temporarily elevate their account to admin to perform specific application functions. . This way, any application that requires constant modification and high levels of processing power can run at the maximum capacity allowed by the base device.

With a COPE device, you have far more options for installing software:

  • Company Portal (Replaces Software Centre)
  • MS Store
  • Winget other package managers are installable
  • Download and install any safe, legitimate-purpose software from the internet or other sources

COPE is only available for those who require the high computational power and freedom, which is usually those engaged in research computing.

Green Mary

As part of Queen Mary's ongoing efforts to embed sustainable development across the University, including a 30% carbon reduction since 2018, it is crucial the organisation looks at its processes around IT device usage and recycling.

Where possible a device will be wiped and reconfigured to allow it to be reused.

Where this is not possible then all QM devices are either recycled, using an external company or donated - to local Schools.

ITS is committed to ensuring we protect the environment and provide an ethical and green service.
