Attendance & Engagement
MBBS Attendance and Engagement Requirements 26-27.pdf [PDF 134KB]
There have been concerns about attendance and engagement across the MBBS. In response, a new Attendance and Engagement Policy has been developed and is now in place for this academic year. We are encouraged to hear there have been improvements since the policy’s implementation, and we wanted to clarify the implications for CBME modules.
As you already know, we ask the practice to closely monitor attendance and inform us of any concerns during placement. This allows us to provide early support for the student.
Below are some important policy changes that are relevant. These have also been communicated to the student body.
- The expectation is that students attend 100% of placement time.
- The threshold for action on attendance from the medical school, has been set at 90%. This will be rounded down to the nearest whole placement day (see table below).
- The term “catch up” refers to activities to make up for missed learning undertaken within the placement time. Students are expected to catch up on any missed learning.
- The term “remediation” refers to activities which are organised after the placement to ensure the student has met the threshold for attendance stipulated below.
- The expectation is that any missed placement activity will be caught up within the placement itself where possible. It is the student's responsibility to contact the tutor and agree how missed learning may be addressed during the placement.
- If, by the end of the placement, the student has not met the required attendance level as detailed below - after accounting for any time that has been caught up during the placement - the student will be discussed at the ARG (Academic Review Group) and may require a remediation placement (which will be organised separately by CBME) at a later date.
Engagement should be considered separately from attendance. Therefore, any concerns regarding engagement (e.g., lateness, professional behaviour, inappropriate reasons given for any absence) should be reported to CBME academic module leads and appropriate Professional Services (PS) staff. This may lead to low-level concern forms being completed, and action, including support, will be put in place.
We will set out the details for each module below…

Example
Scenario 1- GP1 student missed 2 days at the start of placement because of a religious holiday
Student, with agreement from GP Tutor, manages to catch up 1 day.
Net attendance: 1 day missed
Outcome - No implications on final attendance sign-off as net attendance within threshold
Scenario 2- GP2 student missed 4 days due to illness
Student, with agreement from GP Tutor, manages to catch up 1 day.
Net attendance: 3 days missed
Outcome - As attendance threshold was not met the student will be discussed at the ARG. Student should be flagged to the CBME module lead who will discuss this with the student as soon as possible. CBME will arrange remediation, not necessarily at your practice.
Scenario 3- GP4 student missed 5 days of placement due to a broken leg
Student has not caught up on missed learning during the placement
Net attendance: 5 days missed
Outcome - As attendance threshold was not met the student will be discussed at the ARG. Student should be flagged to the CBME module lead who will discuss this with the student as soon as possible. CBME will arrange remediation, not necessarily at your practice.
Scenario 4 - GP5 student missed 2 days, however these are unexplained or an unclear reason is provided.
Student has not caught up on missed learning during the placement
Net attendance: 2 day missed
Outcome - Student passes placement on attendance as threshold has been met, but GP tutor should raise professionalism concern with student and CBME module lead regarding unexplained / unclear absence as soon as possible.
Thank you again for your continued support and for taking the time to consider this important new policy and its implications.
