Frequently Asked Questions (FAQs)

Quick Graduation Checklist:

Before the day:
• Book your tickets and gown (bookings will open in October 2017)

On the day:
• Collect your gown from Marston Robing in the Graduate Centre.

• Collect your ceremony and reception tickets from the ticket collection desk 1.5 hours before your ceremony starts
• Arrive at the Great Hall 30 minutes before your ceremony. All graduates and guests must be seated 15 minutes before the ceremony start time.
• Attend a celebratory reception in the Octagon after your ceremony.
• Collect your Alumni card and learn about Alumni benefits.
• Purchase a souvenir.
• Visit our Grad Festival Village.
• Take Part in our photo competition (more details to follow).
• Soak up the celebratory atmosphere in the Front Lawn Marquee.  

Booking your tickets using Graduation Registration

Q. When can I purchase my ceremony tickets?
A. Tickets will go on sale in October 2017. Further details will be released in due course. 

Q. What information will I need when I book my tickets?
A. You will require your Student ID number (9 digit number printed on your student ID card) in order to book tickets. If you are purchasing guest tickets, you will also require a Credit/Debit card to make payment.

 Q. I’m a Joint Honours student and I’m not sure which ceremony I should be graduating in? 
A. You should graduate with your “home” school which is the main school you are registered with for your course. You can find this information on your MySis account or by contacting the Student Enquiry Centre.

Q. I am not sure if I am being awarded a degree from QMUL or the University of London. How do I find out? 
A.
If you are not sure of your awarding body please log into your MySIS Account and click on the Research Student Details link (postgraduate research) or View My Details - non research (all other students) under the My Details menu. Your awarding body will be displayed on this page.

Q. How many guest tickets will I be able to purchase?
A. All graduands are able to purchase up to two guest tickets initially. Guest tickets are £25 each. When you purchase your two initial tickets you will also be able to indicate a requirement for more guest tickets which will be logged against your booking.

Q. How do I purchase additional tickets? 
A.
When you purchase your two initial tickets you will also be able to indicate a requirement for more guest tickets which will be logged against your booking. When booking closes, the Events and Ceremonies Team will establish if there are any spare seats available for your ceremony. If extra tickets are available, those who indicated a requirement for extra tickets will be contacted after the closing date and notified on the date they will go on sale. If extra tickets are available you will be emailed, to your email address provided on registration, with advance notice of when they will be put on sale. Extra tickets will be sold on a first come, first served basis when the booking system re-opens. Everyone will have the same chance to buy extra tickets if they are made available.

Q. How do I hire my gown?
A.
You can hire your gown at the same time you confirm your attendance and purchase your guest tickets.

Q. Myself or one or more of my guests is disabled or has special access requirements. What do I need to tell you? 
A. When you book your tickets online there is a box where you can provide these details for either yourself or your guest. Please give us as much detail as possible to ensure we can put in place the proper arrangements. For example, please do let us know if your guests need to have seats on the ground floor, seats that do not require any steps or seats with extra leg room. Alternatively, if you require space for a wheelchair this can also be arranged.

Q. How do I request blue badge parking? 
A.
A limited number of disabled parking spaces are available for Blue Badge holders only. Please request one of these spaces at the time of booking. Ensure you are aware of the blue badge number, vehicle registration and vehicle details at the time of booking. You will receive an email confirming your parking space and allocated time slot nearer the time.

Q. Can I bring children to watch the ceremony?
A. We regret that children under five years of age cannot be admitted to watch the ceremony. However, we do provide a Live Relay Theatre where children under five and parents can watch the ceremony live on a big screen. Tickets for the Live Relay Theatre can be purchased on the day of the ceremony at the Information Point. One ticket allows one adult and up to two children under the age of 5 into the live feed area and the reception that follows. These tickets cost £15 each.

Q. When I enter my credit / debit card details the booking does not complete. 
A. Please double check you have entered your card details correctly. Some types of credit card and cards registered abroad can be declined by the booking system so we advise you to try an alternative card. Please note that your booking is NOT confirmed until the payment is successfully processed and you receive a confirmation email. If you are still having trouble, you can use the Live Chat facility on the ‘Your Graduation’ website, or email info@yourgraduation.co.uk or can also telephone 01264 339 706

Q. Will I be sent tickets in the post?
A. No, we do not send you any tickets for the ceremony. Physical tickets will be available for collection on the day. You will receive an email from the website confirming your booking and you should bring a print-out of this email with your student ID card on the day of the ceremony to collect your tickets. Details of where you can collect your tickets on the day will be sent out nearer to the time and will also be included on the “on the day” page of this website.

Q. I want to change my booking. Can I do this?
A. Yes, simply log back into the Your Graduation website and you can amend your booking. If you wish to make any amendments after this date then please contact graduation@qmul.ac.uk who will arrange if possible.

Q. Can I get a refund for tickets I don't want?
A. Tickets purchased for Queen Mary graduation ceremonies are non-refundable. The only exception to this policy is that refunds will be issued in the case of academic failure by the student due to graduate. In these circumstances a full refund will be offered, although this will not be issued automatically. Students who have not successfully completed their course must contact the Events and Ceremonies Team at graduation@qmul.ac.uk with their name, course details and student ID number before the week of ceremonies. Requests for a refund will then be reviewed and verified against your student record before a refund is issued to the credit/debit card used to make the booking. This process may take up to 28 days. Refund requests after the deadline cannot be processed. We regret to inform you that we are unable to offer transfer of funds between ceremonies and/or graduation periods.

Q. Why do I have to pay for ceremony tickets?
A. Your graduation ceremony is a major event and accordingly the college makes a charge for guest tickets to cover the costs associated with staging the ceremonies. Graduand tickets are free of charge, however graduands are required to hire an academic gown. All tickets include entry to the ceremony, a high quality souvenir programme and access to a drinks and canape reception which follows the ceremony.

Q. How can I book tickets for the Rites of Passage ceremony at St. Paul's Cathedral? (Summer only)

Before the day

Q. I have received my results – do I need to contact you?
A. If you have passed your final examinations and have been awarded a final classification you do not need to contact us. Your results will be passed to us and you will be allocated a place in the ceremony. If your results mean you will not be graduating you may contact us to organise a refund and discuss graduating at a later date.  Refund requests after the deadline date cannot be processed. 

Q. I have forgotten to book my photographs – what should I do? 
A. We do advise that you book your photographs before the day. More information can be found on the “Photos” page of our website. However, photographs can be purchased on the day so please don’t panic if you have forgotten to book them in advance.

Q. I need more guest tickets – can I find out if there are any spare? 
A. You should request extra guest tickets at the time of booking - you can request up to two more. If extra tickets are available, you will be emailed after Monday 5th June and invited to purchase the additional tickets. Extra tickets are NOT guaranteed and will be subject to availability, so please don't make travel arrangements for guests who do not have confirmed tickets.

On the day

Q. What time should I arrive and where should I go?
A. Please read the “ On the day ” section of this site for full details. Details will also be emailed to you before the day.

Q. What should I wear?
A. Graduation ceremonies are formal occasions and we ask that graduands and their guests dress appropriately. Jeans and Trainers are not acceptable forms of dress for your graduation day. Academic dress is compulsory to allow you to cross the stage during the ceremony. You will be turned away at this point if you are not wearing a gown.

Q. Will my name and degree result be printed in the programme? 
A. We endeavour to print all names in the programme but cannot guarantee that all names will be included as some results are confirmed to us after the programme is sent to print. We only indicate degree classification where the student has been awarded a First Class Honour or a Distinction and when this has been officially confirmed before the time the programme is printed.

Q. How long will the ceremony last?
A. The length of a ceremony varies depending on the number of graduands present. However most ceremonies take around 1 hour. They are followed by a drinks reception afterwards in the Octagon which also lasts about 1 hour.

Q. What do the refreshments after the ceremony consist of?
A. The drinks reception is where you have the opportunity to celebrate your graduation with family, friends and academic staff from your department. The refreshments include alcoholic and non-alcoholic drinks, buffet selection of food (including vegetarian options) and tea/coffee.
